Job Title: Collections Secretary

Reports to: Tax Assessor-Collector

Dept./School: Tax Office/Appraisal District

Wage/Hour Status: Nonexempt

Pay Grade: Secy II

Terms of Employment: 12 months a year. Wages according to current schedule.

Primary Purpose:

Assist in the daily operation of the Tax Office. Provide clerical services for the Tax Assessor/Collector. Effectively communicate with the general public in a manner that reflects positively on public service.

Qualifications:

Education/Certification:

High school diploma or GED

Registered voter within the district.

Must qualify for the appropriate bond and Notary Certificate.

Special Knowledge/Skills:

Proficient skills in typing, word processing, and file maintenance

Additional technical education or financial/accounting experience preferred

Ability to efficiently handle large sums of money

Ability to understand and assist in compliance with the Texas Property Tax Code

Experience:

Two years accounting, secretarial, and computer operation experience

General Responsibilities and Duties:

Information Services

  1. Process information requests in person, by phone, and fax requests.
  1. Process requests for Tax Certificates.
  1. Assist public with exemption and special appraisal applications.
  1. Process Open Record requests under the direction of assessor/collector.

Clerical

  1. Prepare and process correspondence.
  1. Maintain general filing system.
  1. Maintain record retention schedule.
  1. Enter data to property records and scan documents.

Accounting

  1. Accept and process tax payments.
  1. Receive, verify, and deposit school funds from various campuses and student organizations.

Record/Roll Maintenance

  1. Coordinate athletic events ticket sales.
  1. Issue tax certificates.
  1. Review school deposits.

Additional Responsibilities

All employees of the tax office will assist with mass mailings, athletic event ticket sales, and serve as Deputy Early Voting Clerk. Primary responsibility for certain office procedures are assigned by the tax assessor/collector.

Supervisory Responsibilities:

None.

Personal computer, typewriter, printer, calculator, copier, and fax machine.

Work with frequent interruptions, maintain emotional control under stress. Repetitive hand motions; prolonged use of computer.
