TITLE: Shipping Operations Support Coordinator
TYPE: Direct Hire

We are seeking a highly organized Shipping Operations Support Coordinator to play a key role in supporting day-to-day shipping activities and resolving logistics-related issues. This position acts as a central point of coordination between Customer Service, Accounts Receivable, and Shipping to ensure accurate billing, timely shipment tracking, and smooth operational flow. The ideal candidate is proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment.
MAIN RESPONSIBILITIES
- Manage incoming shipment tracking inquiries from internal teams and customers
- Review shipping-related chargebacks using internal systems to identify discrepancies such as address corrections, billing errors, or refused deliveries
- Investigate and resolve discrepancies to ensure accurate billing and compliance
- Assist in preparing shipping rate quotes for parcel, LTL, and international shipments
- Support both internal teams and customers with cost-related shipping inquiries
- Provide timely updates on shipment status and determine appropriate next steps, including replacement shipments when needed
- Track claims and maintain documentation related to shipping discrepancies
- Assist with processing credits and reconciling shipping-related financial issues
- Assist in preparing bills of lading (BOLs) and shipment documentation to ensure on-time pickups
- Coordinate required paperwork and details for domestic and international shipments, including parcel and freight
- Support return processes, including generating return labels and arranging necessary packaging solutions
- Partner with Accounts Receivable to resolve return-related discrepancies
- Submit and manage billing disputes with carriers, including follow-up to ensure timely resolution and credits
- Support department managers with ad hoc tasks and business needs
- Provide general administrative support across departments as needed
- Assist with special projects, internal coordination, and operational initiatives
QUALIFICATIONS
- Prior experience in shipping, logistics, or operations support preferred
- Familiarity with parcel carriers (e.g., UPS) and freight shipping processes, including international shipments
- Excellent communication skills with the ability to work across multiple teams and interact with customers
- Strong attention to detail with the ability to review and validate billing or chargeback data
- Proficiency in Microsoft Office applications; experience with ERP systems (such as SAP Business One) and PSI software is a plus
- Bilingual skills are a plus
