Description
Reports To: Director of Donor Relations and Stewardship
Pay: $24-$26/hour. Hourly compensation for this position is based on relevant education and experience and will be set within the listed range.
Status/Hours: Full time, 2-3 months, minimum 30-40 hours/week. Typically Mon-Fri though schedule may vary according to departmental and Academy needs.
FLSA: Non-Exempt

Position Purpose
This is a temporary 2-3 month position. The donor relations' administrative assistant will mainly assist the staff with updating report tracking databases, coordinating mailings, preparing acknowledgements and generally keeping the operations running smoothly.
Key Accountabilities
- Supports the administrative work of the donor relations team, including preparing letters, and works closely with team to continue to deliver impact reports to the endowed fund donors.
- Update scholarship recipient Word docs with recipients' names
- Upload financial aid match donor letters to donor records and fund files.
- Upload Library stew letters and file in E-fund folders
- Update speaker funds database, especially specific funds
- Organize and file docs in DR folders
- Upload all email and acknowledgement documents to donor records
- Builds content specific email lists as it relates to fund administrator memos
- Research and Update Financial Aid Fund Biographies according to guidelines
- Ensures consistency, communication and collaboration in a complex environment.
- Assists with development and framing of new Fund certificates
- Other duties and responsibilities as assigned.
Internal & External Contacts
Frequent contact with PEA administrative and IA offices, department supervisors and IA colleagues.
Position Requirements
Education
- Prefer some college or experience in a fundraising office environment
Experience
- Experience that demonstrates the highest personal levels of uncompromising integrity and honesty.
Skills & Knowledge
- Proven competency with Microsoft Office suite of products: Word, Excel, Outlook, File Explorer, etc.
- Proven administrative skills, Word Doc merges and other office work related to large mailings
- Demonstrate respect for diversity of identities and experiences, an orientation toward equity and inclusion, and cultural competency in all aspects of Academy life.
- Demonstrated ability to collaborate with teammates and clients by building trust and credibility.
- Strong interpersonal skills with ability to develop and maintain collegial relationships.

- Ability to work independently and handle multiple priorities.
- Proficient in MS Office
- Willingness and ability to learn additional applications as needed.
- High degree of organizational skills with the ability to be flexible and multi-task with accuracy.
- Ability to follow verbal and written directions, maintain a professional demeanor and restraint at all times, including stressful situations.
Additional Requirements
- Successfully complete a criminal background check (reviewed every 5 years).
